Halpaz is built for organisations where the schedule looks different every week. Where people work varying days, varying hours and varying contracts, and where the roster still ends up being retyped into payroll by hand.

That happens in hospitality and retail, but just as much in healthcare, cleaning, logistics, production, leisure and events. Anywhere people work in shifts, the same three problems show up: getting the roster covered, getting the hours right, and keeping those two in agreement.

We build software for small and medium sized businesses across Europe that do not have a dedicated HR department. No multi month implementation, just an account you can set up in an afternoon. Support is personal: you talk to the people who build the product. Halpaz is fully available in Dutch, English, Greek and Bulgarian, runs in the browser and has native apps for iOS and Android.

About the application

Halpaz brings scheduling, time tracking and leave together in one place, so the hours you pay are the same hours you planned and approved.

What sets Halpaz apart is Smart Fill: the schedule is not filled in by you, it is generated for you. One click and a draft for the whole week is there, built from required coverage, your people's availability, their contract hours, their skills and labour cost. Everything that normally lives in a manager's head lives in the model instead. You review the result and publish only when it is right: Smart Fill never publishes on its own.

Alongside that:

  • Clock in without the argument - staff clock in from the app with GPS verification, or from a shared tablet in kiosk mode with a personal PIN.
  • Digital timesheets - clocked time flows straight into timesheets that a manager reviews and approves per employee.
  • Break rules that follow the law - break calculation follows the working time legislation of the country the location is in, including the Dutch Arbeidstijdenwet.
  • Leave and availability - leave requests, leave balances, availability and shift swaps all run through the same schedule.
  • Labour cost up front - you see what a week will cost while you are planning it, not after the payroll run.

About the integration

The integration is driven from Halpaz and works in both directions. You connect Halpaz to your Nmbrs account once, and that is the whole setup: there are no tokens, keys or settings to copy across yourself.

From Nmbrs to Halpaz

  • The employee file of the selected administration. Halpaz matches existing people by email address, payroll number or name and shows exactly which fields differ.
  • Per employee: name, email address, payroll number, hourly rate or monthly salary, contract hours, part time percentage, start and end date of employment, department and job title.
  • The hour codes of the administration. Halpaz reads them out and proposes the match with its own hour types itself, so all you do is confirm it.

Nothing is overwritten blindly: the manager first sees a field by field comparison and chooses what to apply.

From Halpaz to Nmbrs

  • Approved hours per employee per period, split across the mapped hour codes: worked hours, overtime, sickness, holiday, personal leave, unpaid leave and public holidays.
  • Days worked (SV days) per employee per period.
  • For employees on a fixed monthly salary the regular hours are skipped, so base salary is never paid twice. Overtime and leave are still sent.

Halpaz features

At the end of the period you build an export batch from the approved timesheets. Before anything reaches Nmbrs you review that batch line by line: adjust an amount with a mandatory reason, exclude a line, or add one manually. Halpaz flags missing contract hours, missing payroll numbers and unmapped hour types.

On submit, Halpaz reads the payroll periods from Nmbrs, shows which ones are locked and warns you before you post into a closed period. Retroactive processing is a deliberate choice, not an accident. If something does go wrong, rollback removes the posted wage components from Nmbrs again and returns the batch to draft. Every correction is traceable: who, when and why.
